Gmail AI Inbox is rolling out to paid Google Workspace users, Google said on October 15, 2026. It pulls to-dos and short summaries of priority work email into one view. Google announced Gmail Live the same day. It lets people ask questions about their inbox out loud on the Gmail mobile app and hear spoken answers.
Both features were limited betas until now. For nonprofits and associations on Google Workspace, they will appear in staff accounts over the next few weeks, and the admin controls are different for each. This piece covers what staff will see, which editions get each feature, the rollout dates, the settings worth checking, what Google says about data, and how to tell your team.
The short version: Google says there is no admin control for Gmail AI Inbox. Users can hide it in Gmail settings. Gmail Live is on by default for organizations with Gemini access, and it follows your existing Gemini and smart features settings. Organizations on the free Google Workspace for Nonprofits edition are not on the AI Inbox list. Check your edition, check your Gemini settings this week, and send staff a short note before the features show up.
What staff will see in Gmail AI Inbox
Google’s AI Inbox announcement describes two parts.
Suggested to-dos. Google says the feature "automatically extracts action items, deliverables, and deadlines embedded within email conversations." A board chair’s request for a report by Friday becomes a to-do with a link to the email.
Topics to catch up on. These are summaries of the threads that matter most, including long back-and-forth conversations. Google says they cover decisions and status changes.
Staff open Gmail AI Inbox from the Gmail desktop client or the mobile app menu. Google’s AI Inbox help article says it appears in the left panel on the web. Each to-do has buttons such as View or Reply. Items can be marked done or removed. Topics have a "Mark all as read" option, which also marks the underlying emails as read.
Google first showed AI Inbox in January 2026, when it said trusted testers would get it first. We covered the wider idea in what an agentic inbox looks like with Gemini Spark.
What Gmail Live does on phones
Gmail Live is a voice feature in the Gmail app on Android and iOS. Google’s Gmail Live announcement says it "delivers a low-latency, inbox-aware voice search experience."
Staff tap the Live button in the Gmail search bar and ask a question out loud. Google’s examples include when mandatory training is due and the latest update from a manager. Answers link back to the source emails, and Google says a source card appears at each turn.
The first time, the app asks for microphone access. The Gmail Live help article says it is English only and does not work on Android tablets. Users can interrupt it, mute their microphone or end the session.
Which editions get Gmail AI Inbox and Gmail Live
The two announcements list different editions. Nonprofits should read them closely.
| Edition | Gmail AI Inbox | Gmail Live |
|---|---|---|
| Business Starter, Standard, Plus | Yes (Starter later) | Yes |
| Enterprise Starter, Standard, Plus | Yes (Starter later) | Yes |
| Frontline Plus | Yes | Yes |
| Google Workspace for Nonprofits | Not listed | Listed |
| Google AI Pro for Education | Yes | Yes (add-on) |
| Gemini Business, Gemini Enterprise, AI Expanded Access, AI Ultra Access | Not listed | Yes (add-ons) |
The AI Inbox post adds a note: it "will rollout later to Starter and Education editions in the coming months." Both features are limited to users in the US with their language set to English (US).
The nonprofit row needs a closer look. Google’s nonprofit edition comparison shows Gemini in Gmail features, such as Help me write and the side panel, only in the discounted paid editions. The free Nonprofits edition does not have them. Gmail Live is on "for organizations with Gemini in Workspace access." So a free-edition nonprofit may not see Gmail Live even though the edition is listed. Check your own Admin console.
Most associations and larger nonprofits pay for Business Standard or Business Plus at the nonprofit discount. Those editions are on both lists.
When Gmail AI Inbox reaches your domain
Google uses two release tracks, Rapid Release and Scheduled Release. Your domain is on one of them.
- Gmail AI Inbox, Rapid Release: a gradual rollout started October 12, 2026, with up to 15 days for the feature to appear.
- Gmail AI Inbox, Scheduled Release: a gradual rollout starts October 26, 2026, again with up to 15 days. That puts full visibility around November 10.
- Gmail Live, both tracks: a gradual rollout started October 15, 2026, with up to 15 days. Expect it by about October 30.
The help article adds one more delay for AI Inbox. After setup, the first to-dos and topics can take up to 7 days to appear. Tell staff who see little on day one to wait a week.
Admin settings to check for Gmail AI Inbox and Gmail Live
Google’s announcement says plainly: "There is no admin control for this feature." That sentence is about AI Inbox. You cannot turn it off for the domain the way you can with other Gemini features. Gmail Live has controls, through settings you may already manage.
Four settings are worth checking.
1. Gemini feature access for Gmail. In the Admin console, go to Menu > Generative AI > Gemini for Workspace > Feature access, then edit Gmail. Google’s admin guide says the default is on. You can set it by organizational unit or group. Gmail Live links to this page as its control.
2. Smart features. Under Account > Account settings > Smart features for Google Workspace, super admins can set a default for "Smart features in Google Workspace." Google’s smart features guide says users can override that default in their own settings. Both help articles say users need it on.
3. Gemini Beta features. This panel sits in the same Gemini for Workspace area and is off by default. If you turned it on earlier, some staff may already have had both features.
4. Gemini conversation history. Gmail Live saves transcripts to Gemini in Workspace history, which admins can keep from 90 days to indefinitely.
We walked through the other default-on Gemini switches in Gemini defaults in Google Workspace.
What Google says about data handling
Neither announcement says anything about data handling. The help articles say only that use of each feature is covered by the Google Cloud Terms of Service.
The broader statements are on Google’s Generative AI in Google Workspace Privacy Hub. It says "Workspace does not use customer data for training models without customer’s prior permission or instruction." It also says "The AI follows your existing Google Workspace permissions," and treats Gemini data as customer data under the Cloud Data Processing Addendum.
Those are general Workspace commitments. Google has not published a page that applies them to AI Inbox or Gmail Live by name. If your organization handles donor financial data or member health information in email, ask your Google rep or reseller to confirm in writing.
Gmail Live has one specific point. The help article says "Gmail Live saves transcripts in your conversation history with Gemini in Workspace." Users can check and delete that history from a web browser. Your retention setting decides how long the rest stays.
Gmail AI Inbox limits staff will notice
The help article lists several gaps. Some matter more at associations than elsewhere.
- Primary tab only. Mail in Social or Promotions is ignored.
- No delegated inboxes. Executive assistants who work in a CEO’s mailbox will not see AI Inbox for it.
- No attachments. A deadline inside a PDF will not become a to-do.
- No encrypted email. Encrypted messages are skipped.
- Archived, muted, snoozed and deleted mail is excluded. Staff who archive fast will get fewer suggestions.
The delegation gap matters most. Many associations run executive inboxes through an assistant, and that workflow gets nothing from AI Inbox today.
How to tell staff about Gmail AI Inbox
A short note before the rollout prevents a wave of "what is this?" tickets. Keep it to what changes and what they control. Something like:
Two new Gemini features are arriving in Gmail over the next few weeks. AI Inbox shows suggested to-dos and summaries of important threads. You can hide it under Settings, then Inbox, then Show AI Inbox. Gmail Live lets you ask questions about your email by voice in the Gmail phone app. Its transcripts are saved to your Gemini history, which you can delete. Both are optional. Check the source email before you act on a summary.
Add one line about your data rules. If staff must not use AI features on certain mail, such as HR cases or donor card details, say so plainly.
Your help desk should also know the 7-day warm-up and the delegation gap. Those two will drive most of the questions.
How this compares with Outlook and Apple Mail
Microsoft’s Prioritize my inbox feature in Outlook has Copilot mark mail high, normal or low priority and show a short summary with the reason. Apple Mail also summarizes and sorts mail. Our post on email marketing in the AI inbox covers those changes from the sender’s side. For Microsoft 365 nonprofits weighing Copilot costs, see our note on nonprofit Copilot discounts.
